PRESIDENT:
  • Facilitates one (1) hour meetings according to WIN agenda.
  • Is a steward along with MC of business categories to ensure exclusivity of all categories.
  • Is responsible for recruitment and retention of members along with being visible in the community.
  • Reviews approved new member applications with MC to ensure no category conflicts with existing members.
  • Reviews the annual renewal of each member with MC according to the Renewals Policy.
  • Assists in identification and transition of the incoming Leadership Team.
  • Responsible for bringing a local Charity into the chapter once chapter has 20 or more members.
  • Responsible for contacting the local Chamber of Commerce and making them aware of the benefits of partnership with a WIN chapter.
  • Maintains the chapter Home Page on the website, except for featured members section, and reaches out to COO when assistance is needed.
  • Responsible for getting Leadership Team Agreements signed by all current LT members and submitting them to WIN COO and CFO.
  • Approves posts for kudos, member highlights, and gallery photos.
  • Backup for Vice President, MC, and RC website duties.
  • Responsible for assisting chapter members in establishing alliances within their chapter.
  • Is the liaison between the chapter and the Executive Board.
  • Informs EB of any Visitors Day so EB can promote them.  Refer to Visitors Day Guide.
  • Serves January through December.
VICE PRESIDENT:
  • Shadows the President and fills in when needed.
  • Is visible in the community and invites professional women to visit the group.
  • Schedules weekly 10-minute and 3-minute presentations for official members only and reminds members a few days ahead of their scheduled time.
  • Responsible for assisting chapter members in establishing alliances within the chapter.
  • Responsible for following up with members to complete profiles and ensure that SEO title and descriptions in the profile are complete.
  • Conducts exit interview with each departing member either by email, by phone, or in person to determine why the member is leaving and communicate that information to the P and MC.
  • Maintains events, featured members, and gallery on the website.
  • Backup for President website duties.
  • Follows up with visitors either by phone or email.
  • Collects members’ announcements throughout the week and announces them at end of weekly meeting.
  • Ensures that members are providing reviews for the chapter’s sponsor on social media platforms and on the sponsor’s Google business page.
  • Serves January through December.
MEMBERSHIP COORDINATOR:
  • Website responsibilities: approves new applications, leaves of absence, and incoming member transfers; updates and prints attendance sign in sheet prior to the weekly meeting; records absences; changes current member categories, chapter, and status when applicable; informs Board CFO of departing members and why they are leaving.
  • Researches information on application through Google and social media platforms to determine appropriateness of category. Also checks references. Reviews findings with the President prior to approval. Applications should be approved within a week of submission unless there are multiple applications for the same business category or if there are category conflicts that need to be resolved.
  • Reviews the annual renewal of each member with the P according to the Renewals Policy.
  • Sends out Visitor Thank You or Visitor Day Follow up Email within 24 hours after the meeting.
  • Follows up with pending members to ensure that the new member process (payment of invoice, NMO, and completion of member profile) is completed within 21 days of initial approval.
  • Sends warning email to members who have five (5) absences.
  • Sends Visitors Day sign in sheets to CFO within 24 hours after the Visitor Day.
  • Contacts members who are out of compliance with their dues to determine if they have received their invoice or are leaving WIN; updates Board CFO with this information.
  • Updates Board CFO with membership contact information changes.
  • Analyzes attendance report for absentee trends.
  • Takes visitor sign in sheet to President before the beginning of the meeting.
  • Serves from January through December.
REFERRALS COORDINATOR:
  • Passes Assign Points report and Yearly or Quarterly Referrals report out at beginning of meeting and explains how to interpret and use both reports. Once all members are fully trained and using the CSV report to update the status of their pending referrals to the RC, it will not be necessary to pass the Assign Points report at the meetings.
  • Assigns points at least once a week on all BB’s, New Insides, Repeat Insides, Visitor Attended, and Visitor Joined. Do not wait for feedback from the members on the status of these referrals.
  • Trains new members on website referrals system, including how to use the CSV report if your chapter uses the CSV report.
  • Analyzes referrals report and looks for trends, reviews usage of referral system, and determines those giving and/or receiving referrals, and contacts those not using the system to encourage or train them on the referrals system.
  • Looks for opportunities to acknowledge exceptional referral performance.
  • Maintains box/binder for sharing business cards with each other and/or assists members with their virtual business card on the member profile.
  • Serves from January through December.
