Purpose: The purpose of this policy is for the Membership Team (MT) to have the choice to renew or not to renew each member.

Policy:

  • CFO sends email around the 15th of the month to all MTs who have members who are renewing in the upcoming month. This email includes a list of all members renewing in that month and a blank Renewals Checklist. This Checklist includes some criteria which may be helpful in making the decision to renew a member.
  • In most cases, the MT will meet with each renewing member to discuss her accomplishments and/or areas where improvement might be needed.
  • In some cases, the MT will decide to renew the member without meeting with her.
  • The MT will respond to the CFO’s email as soon as possible to let her know that they are renewing the member. It is preferable that the MT’s response be from both members of the MT, but a response from only one member is acceptable.
  • If the MT decides not to renew a member, they will fill out the Renewals Checklist that the CFO includes in her email with the reason they are declining the member’s renewal.
  • CFO will send invoice out to the member within 2 – 3 days of receipt of the MT’s response.
  • CFO will continue to send the renewals list out on a weekly basis if there are any MT’s that have not yet responded to the initial email.
  • If an MT has not responded within 30 days from the date the original renewals list was emailed, the CFO will automatically renew the member. The date the original email was sent out is in the “Sent to MT” column on the list of member renewals.

Note:
The due date for the member’s invoice will be the same whether the MT responds to the CFO as soon as possible or waits until the last minute. The longer the MT takes to respond, the less time your member will have to plan for the payment.
