Members leaving WIN: Someone from the LT should do an exit interview with a departing member to find out why she is leaving. MC will send email to CFO (allysonrayfield@gmail.com) telling her that member is leaving and why. CFO will remove member from the website.
Terminating Member for Excessive Absences: When a member reaches five (5) absences in any term, MC will send Attendance Warning Letter to the member. Log in and go to: Admin/Forms/Attendance Warning Letter and select the appropriate member in the dropdown menu. It is recommended that the MC talk with the member to see what can be done so the member doesn’t lose her membership. Perhaps a short leave of absence would be appropriate. In many cases, the member is unaware of this option but she doesn’t want to lose her membership. Please reach out to the CFO if an exception needs to be made.
If the member reaches 8 absences and has been unresponsive to the attempts from the MC or P to prevent her from losing her membership, send an email to the CFO to let her know that the member has reached eight (8) absences and what attempts have been made by the MC to keep the member from losing her membership due to too many absences. The CFO will send the Termination Letter to the member if the member has eight (8) absences and a minimum of three (3) weeks has elapsed since the Attendance Warning Letter was sent out and if all warning letters have been sent to all members who have reached five (5) absences. If the MC is aware of any extenuating circumstances that could or should delay the termination of a member who has reached eight (8) absences, the MC should communicate that to the CFO immediately.
